For organizers
You set up a capsule for a child: plans, delivery, storage, invoices and your account.
Plans and what is included
What does aevana include?
You create a family profile and invite family and friends, and everyone sends photos, voice messages and texts by email or through the web interface. Everything lands in a chronological timeline that you can review and moderate. On the delivery date your child gets access to the capsule.
What does it cost and what is in which plan?
You pay once per capsule, there is no subscription. All prices include VAT: the "5 years" plan is €149.00 with 10 GB of storage, delivered five years after purchase. The "Until 18" plan is €299.00 with 30 GB of storage, delivered on the 18th birthday. When you choose your plan you see once more what each one includes before you order.
Can I switch later or buy more?
Yes, in the family settings. From the "5 years" plan you can upgrade to "Until 18"; extra delivery years you already bought are credited. After purchase there are also add-ons: more storage and extra delivery years. More under "Storage space" and "Delivery".
Can I try aevana for free first?
Yes. You can start free: 30 days with up to 3 contributors and 30 entries. You only buy a capsule when you want to stay. Items over the limit are kept and appear once you buy the capsule.
Free start
What applies during the free start?
You start free: 30 days, with up to 3 contributors and 30 entries. You only buy the capsule when you want to stay.
What are "held" entries?
When 30 entries are reached nothing is lost: further entries are kept safe but not shown yet. You and the person who sent the entry are informed by email. As soon as you buy the capsule, all held entries are added automatically.
What happens after 30 days?
If you do not buy a capsule, it is read-only for 30 days afterwards: nothing new can be added, but you can still view and export everything. We remind you by email before and during that time.
When is everything deleted?
If you still have not bought anything after the read-only period, the capsule and all its contents are permanently deleted. Export it in the family settings first if you want to keep the memories.
Can I repeat the free start?
No, there is one free start per child. This also applies if you delete the family and create it again.
How do I keep my capsule?
Choose a plan for your capsule. You can find all prices under "Plans and what is included".
Vouchers
How do I give a voucher as a gift?
On the page Gift a capsule you choose an amount (€99.00, €149.00, €299.00), no account needed. After payment you receive the voucher code and a printable voucher document by email and hand over both in person. You can add a personal message for the recipient.
How do I redeem a voucher?
Enter the code when you order your capsule. You can combine several vouchers for one order. A voucher is a means of payment, not a discount, so it can be combined with the founder price and the sibling discount. It can only be redeemed for buying a capsule, not for add-ons, extra delivery years or upgrades.
What happens to the remaining balance?
It stays on the code and can be used for later capsule purchases. There is no cash payout.
How long is a voucher valid?
Until December 31 of year 3 after the year of purchase. We remind the buyer by email beforehand. Unused value expires after that.
What happens to a voucher on a refund?
An unused, valid voucher is refunded in full on request, and the code becomes invalid. If you paid for a capsule partly with a voucher, a refund is credited to the voucher first and only the rest goes back to your payment method. If a voucher was fully or partly redeemed, has expired or was voided, we decide case by case on request. The exact terms are in our terms and conditions. Write to us via the contact form and pick the topic "Vouchers".
Delivery
When is the capsule delivered?
On the delivery date you see in the family settings. In the "Until 18" plan that is the 18th birthday, in the "5 years" plan it is five years after purchase. Until then everything stays sealed.
Which timezone does the delivery time use?
The delivery date and time apply in your family's timezone. The default is Berlin; you can pick another timezone when you create the family and in the family settings. If you change the timezone, the date and time stay the same and then apply in the new timezone. A new delivery moment must be at least 24 hours in the future.
Can I change the delivery date?
Yes. In the family settings you can move the date up to 1 year(s) before or after your plan's date and confirm the change. If the capsule should arrive even later, you can buy extra delivery years there: €25.00 per year (incl. VAT, one-time), up to 10 years per capsule.
Can I hand over the capsule earlier?
Yes. In the family settings you can trigger early exit. The capsule is then delivered immediately. This cannot be undone.
How does my child get access?
The recipient gets an email with a personal link. On first use you, as the organizer, confirm that access goes to the right person. Only then is any content shown.
Storage space
Is there a storage limit?
Yes. Every family has a storage limit for photos and voice messages: 10 GB in the "5 years" plan, 30 GB in the "Until 18" plan. Once it is reached, further photos and audio files are rejected. Texts are still accepted. You and the person who tried to send the contribution are told. You get a warning before that happens.
What if the storage is full?
You can buy more storage yourself, it takes a minute. In the family settings, a purchased capsule offers extra storage: 25 GB each for €39.00 (incl. VAT, one-time), up to 4 times per capsule. In the "5 years" plan you can also upgrade to "Until 18" there, which raises the limit to 30 GB. Only if you have used all of these options and still need more space, write to us through the contact form. You can export your data at any time, see "Data export".
Data export
Can I export my data?
Yes, at any time. You can request an export in the family settings. As soon as it is ready you get an email with a download link that is valid for seven days. After that you can request a new export.
Can recipients export too?
Yes. As long as access lasts, the recipient can request the export on the capsule page.
Milestones, digest and recipient confirmation
What are milestones?
Milestones are labels like "First tooth" that you use to mark entries in the timeline, so the capsule can later be read ordered by events. There are default milestones for all families, and you can add your own for your family, rename them and remove them again. You manage them in your family under "Milestones".
What is the email digest?
If you like, you get an email summarizing new entries since the last digest. You set it per family in the family settings: off (default), every week or every month.
What is the "Confirm recipient" step?
When the recipient logs in for the first time, we ask you as organizer whether access goes to the right person. Content is only shown after you confirm. More under "Handing over to the recipient".
Invoices
Where do I find my invoices?
In the family settings under "Invoices". You can view and download them there at any time.
My invoice is wrong or missing.
Write to us through the contact form. If you are signed in, we see your family and your latest order right away.
Refunds and withdrawal
Do I get my money back?
That depends on how far your capsule has come. Until the first contribution is in the capsule, we refund the full price. After that you can withdraw within 14 days of payment; we then also refund the full price. After that period, and after delivery or early exit, there is no refund. The legal terms are in our terms and conditions.
What about add-ons?
Extra storage, extra delivery years and an upgrade to "Until 18" are not refunded automatically. If you have not used them yet, you can ask us for a refund.
What happens to the capsule after a refund?
The capsule becomes read-only: no further contributions are added. Export it while you can still see it, see "Data export". After 90 days the capsule is permanently deleted. We remind you by email beforehand.
Is deleting a family a refund?
No. If you delete a family you do not get any money back. If you want a refund, request it before you delete.
How do I request a refund?
Write to us through the contact form and choose the topic "Refunds and withdrawal". If you are signed in, we attach your order automatically. The refund goes back to the payment method you paid with. How long it takes to show up depends on your bank or payment provider.
After delivery
How long is the capsule available after delivery?
As soon as you have confirmed the recipient, they can open the capsule and have access for one year from then on. After that the capsule is deleted. There is no indefinite hosting.
What happens if the capsule could not be opened?
If you have not confirmed the recipient one year after delivery (so they could never open the capsule), we delete nothing automatically: we pause the clock, extend access once by another year and get in touch with you. If you confirm them during that time, they have one year of access from then on, at most until two years after delivery. If they still stay unconfirmed after that, the capsule is not deleted automatically. We then work out a solution together with you.
Will I be reminded before it ends?
Yes. You and the recipient get email reminders before access ends, so you can export in time. Nothing is deleted before the last reminder has been sent.
How do I keep the memories for good?
Export the capsule while access lasts and keep the files yourself.
Account
What is the difference between deleting my account and deleting a family?
Deleting a family permanently removes that child's capsule, with all entries, photos, voice messages and contributors. This is not a refund: if you want your money back, write to us via the contact form first. Deleting your account removes you as a user. It does not delete the families you organize, they block the deletion: delete them first. Contributions you sent in other families stay there, and invoices are retained for the legal period. Export your capsule first if you want to keep the contents.
How do I change my email address?
In your profile you can change your name and email address. If the address is not confirmed yet, you can have the confirmation email sent again there. The recipient's email address, by contrast, is changed in the family settings.
Why do I get an email about the capsule once a year?
A capsule often waits many years for its delivery day. So that no address goes stale in the meantime, we send you a check-in email about 14 days before the child's birthday: it shows your email address, the recipient's email address and the delivery date. With the "Everything is correct" button you confirm that your own address and the recipient's address are still right. If something is off, "Change something" takes you straight to the family settings. The button works for 60 days. Signing in or saving the family settings also counts as a sign of life for us. If nobody clicks, nothing happens: the capsule stays as it is and nothing is deleted. We ask again the next year, and after a long silence we may also get in touch with you ourselves. The email is only sent for capsules that are still waiting for their delivery day.
How do I set, change or remove a trusted contact?
A trusted contact is someone you trust, for example the other parent or a godparent. It is optional and free in every plan. You enter their name and email address in the family settings under "Trusted contact". They get an email and must accept through the link: nothing is shared with them or sent to them before that. They never see any content of the capsule. They only get notices when you cannot be reached: a copy of the delivery and of the reminders before access ends, and the notice when the check-in stayed unanswered for a year or the recipient has been waiting 30 days for your confirmation. They can then confirm the recipient on your behalf. They can also change the recipient's address as long as the recipient has not set up access. If you change the email address, a new invitation replaces the old one and the old links stop working. With "Remove trusted contact" you delete them at any time; they can also stop on their own page. The trusted contact cannot be you or the recipient. If the family is deleted, we also delete the trusted contact's data.
How do I secure my account with two-factor authentication?
In your profile you can turn on two-factor authentication and change your password. You can also sign out of other devices there.
I lost my phone for two-factor authentication or can no longer reach my mailbox.
Write to us via the contact form, ideally from an email address we know of you. We briefly check that it is really you, for example by asking for an invoice number, the child's date of birth or the amount of your last payment. Afterwards we reset your two-factor authentication or enter your new email address, and send you a link to set a new password. We sign you out everywhere and tell you by email about every change to your account.
How do I sign in with a passkey?
A passkey replaces your password: you confirm on your device with your fingerprint, face or device PIN, or with a security key. Open your profile and find the section "Passkeys". Give the passkey a name, for example "iPhone", click "Add passkey", confirm briefly that it is you and follow your device's prompt. After that the login page shows the button "Sign in with a passkey". Your password and Google or Apple sign-in keep working. In your profile each passkey is listed with its name, date added and last use, and you can rename it or delete it with "Remove". Adding and removing ask you to confirm it is you again, and you get an email for every change. A passkey is stored on your device or in your password manager: if you lose the device, remove the passkey in your profile. If you set a new password through "Forgot password", or our support resets your two-factor sign-in or your login email, we remove all your passkeys for your safety and say so in the email; add new ones in your profile afterwards. Passkeys exist for organizer accounts only, not for the recipient's access.
Do I still need the two-factor code with a passkey?
No. A passkey is already two factors in one: it lives on your device and you confirm it with fingerprint, face or PIN. That is why we do not ask for the code on top when you sign in with a passkey. If you sign in with your password, you still need the code when you have turned on two-factor authentication.
How do I connect Apple or Google to my account?
Open your profile and find the section "Sign in with Google / Apple". Click "Connect" next to Apple or Google, confirm briefly that it is you, and sign in with the provider. Afterwards the button "Continue with Apple" or "Continue with Google" on the login page takes you to the same account with all your capsules, even if the provider uses a different email address. We never connect automatically: without your "Connect" in the profile, signing in with a provider creates a new, empty account. An Apple or Google account can belong to one aevana account only. You get an email for every change. "Disconnect" removes the connection again; that only works while you can still sign in another way, meaning with a password or the other provider.
What does "Hide My Email" mean with Apple?
Apple then gives us a forwarding address (@privaterelay.appleid.com) instead of your real one. We cannot match that to the account you created with your real address, so we create a new one. In that case sign in with your password and connect Apple in your profile as described above, and from then on you land in the right account.
I forgot my password.
On the sign-in page you can request a new password. The recipient's access is separate, see "Lost recipient link".
Where are my invoices if I deleted a family?
The "Invoices" section is deleted along with the family. We keep invoices for the legal period, write to us via the contact form.
A contributor can no longer reach their email address.
Contributions are accepted only from the address the person was invited with. If they lost that address, you replace it in the family's contributor list with "Replace address". You confirm this once more with your password or a code, up to three times per person and ten times per family per day. The old and the new address get an email, a linked account of the person is suspended until they confirm the new address, and the reminder setting is reset. If the old mailbox may be in someone else's hands, you can also have a new personal address issued at the same time. You cannot replace the address while the capsule is delivered, archived or closed, or once contributions are closed because of the shutdown; our support team helps then. If the person changes their address themselves, you get an email about it and see the new address only in part.
The contributor list says emails were ignored.
An email to a contributor's personal address is accepted only if it comes from their invitation address and the email provider can confirm that. Everything else is discarded, no contribution is created, and the person gets a notice at their invitation address. For each person you see only the number of emails ignored in the last 30 days, neither sender nor content. If this keeps showing up, the person is probably writing from another address, or their email provider cannot be verified (this affects addresses at providers without DMARC): they can change their address themselves, or you replace it.
If aevana shuts down
What happens to my capsule if aevana shuts down?
We give you back your memories and the unused part of your money. This is built in, you do not have to do anything. As soon as an end date is set, we email you, usually 90 days before the end.
Do I get my contributions back?
Yes. With that email you get a complete export of your capsule: photos, voice messages, texts and captions. The download link stays valid until 14 days after the end. After that the capsule is deleted.
Will new contributions still arrive until the end?
Yes, until 7 days before the end. Then we close the capsule to new contributions. If any arrived after your first export, we send you an updated, final export.
Do I get money back?
Yes, the unused part of what you paid. We pay it back automatically to the payment method you used. If the payment is too old for that, we pay it out by bank transfer and get in touch with you. The money is on its way no later than 14 days after the end. Buyers of gift vouchers that have not been redeemed yet get their money back too.
Can I still buy anything after the announcement?
No. As soon as the end date is set, we no longer sell new capsules, add-ons or vouchers. You can keep using your existing capsules.
What can I do right now?
Export your capsule regularly anyway, so you always have your own copy whatever happens. See "Data export" for how.
For contributors
You were invited to send memories by email: how to send, what works and what to do if something gets stuck.
Contributing by email
How do I send a contribution?
Send an email from the address you were invited with to your personal address from the invitation. You can also reply to the invitation email, and your reply ends up in the right place if you send it from your invitation address. Attach photos, write text in the email body, and attach a voice message as a file (on a phone, for example from the Voice Memos app). You need no app and no account.
Which address do I have to send from?
From the address your invitation was sent to. Only emails from that address become contributions, and your email provider must be able to confirm that the email really comes from you. An email from another address, even with your name or forwarded, is not accepted. Just send it again from your invitation address. If you want to send from another address in future, change your address, see "I have a new email address".
Which formats and sizes work?
Photos: JPEG, PNG, HEIC. Voice messages: MP3, M4A, OGG, AAC, WAV, AMR. Up to 25 MB per file and about 35 MB per email. If you have many photos, it is best to send several smaller emails. Videos cannot be added.
Did my contribution arrive?
You get a short confirmation when your contribution has arrived (unless you turned these confirmations off). If you get neither a confirmation nor a reply with a reason, send the email again later. If that does not work either, ask the person who invited you.
My email bounced. Why?
You only get a reply with the reason in these cases: a file is in an unsupported format or too large (the reply names the file, and the rest of your email was processed normally; just send the file again in a supported format or smaller), the capsule's storage is full (texts still arrive), the capsule is not accepting messages right now, or it has already been delivered. If you sent very many emails in a short time, you get a notice that part of them was not accepted: wait a little and send the rest later. If your email did not come from your invitation address or could not be confirmed, your invitation address gets a notice that we ignored an email, see "I got a notice that an email was ignored". If we could not check the sender because of a problem on our side, you get a notice that the email could not be processed and that you should send it again later, see "I got a notice that my email could not be processed". In all other cases, for example if you are no longer listed as a contributor, there is no reply. If you have questions, ask the person who invited you.
I got a notice that an email was ignored.
Then someone sent an email to your personal address that did not come from your invitation address, or that we could not confirm came from you. Nothing was added. The notice shows the sender address only in part and arrives at most once in 24 hours. If you sent the email yourself, send it again from your invitation address or change your address. If the notice comes for every email even though you send from your invitation address, your email provider cannot be verified: sending again will not help then, switch to an address at another provider, see "I have a new email address". If you did not send it, you can ignore the notice. If your personal address fell into the wrong hands, replace it, see "How do I replace my personal address?". The organizer sees only how many emails were ignored in the last 30 days, not the sender and not the content.
I got a notice that my email could not be processed.
Then the fault was on our side, not yours: we could not check who an email came from and so did not add it. You do not need to change anything. Send your email again later from your invitation address. As soon as the problem is fixed and an email we could check has reached us again, you get, if your contribution was affected, a short email saying it works again and you can send once more. The notice arrives at most once in 24 hours, the "It works again" email once per incident. The organizer sees only how many emails could not be processed in the last 30 days, not the content.
Can I do something wrong?
The organizer sees everything you send and can hide or delete contributions before the hand-over. Made a mistake? Tell the organizer.
My contribution does not show up.
If the free start is running and the capsule is full, your contribution is kept safe and appears as soon as the organizer buys the capsule. You get a short email about this. More under "Free start". If you sent from an address other than your invitation address, the email was not accepted, see "Which address do I have to send from?".
I lost my personal address.
Ask the organizer to send you the invitation again. They can do this in the family's contributor list.
How do I replace my personal address?
If your personal address fell into the wrong hands, for example because someone used "Reply all" on a family email, you can replace it yourself if you have linked an account to your invitation: open "My contributions" and choose "Replace my address". We send a code to your invitation address. After that the old personal address stops working, and we send you the new one. If you have not linked an account yet, do that first, see "Do I need an account?". If you no longer control the mailbox of your invitation address, ask the organizer to replace your address; they can have a new personal address issued at the same time.
I have a new email address.
Open the page How contributing works and, under "I have a new email address", enter the address you contribute from today. We send a link to that address. You enter the new address and confirm it with a link we send to the new address. The old address gets a notice and can undo the change for 14 days. The organizer learns of the change but sees the new address only in part. The change applies to every family in which you are invited with this address; they are listed before you confirm. Your reminder setting is reset, and you can confirm it again with the new address.
I can no longer reach my old email address.
Then you cannot change it yourself, because we have to be sure it is you. Ask the organizer to replace your address in the family's contributor list. They confirm this once more with their password or a code, and we send an email to the old and to the new address. If the organizer cannot sort it out, our support team can help. An account that is already linked stays, but is suspended until you confirm the new address with a code.
Someone forwarded me an invitation.
A forwarded invitation link alone grants no access. To link an account we send a six-digit code to the address the invitation was sent to, and only someone who reads it there and enters it gets further. The code is valid for 15 minutes. If an invitation was forwarded to you, ask the organizer to invite you with your own address.
Can I get reminders to contribute?
Yes, optionally. The invitation email has a link "Want an occasional reminder?". You confirm once with a click. Every reminder email has a link at the bottom to stop them again.
Do I need an account?
No. Contributions by email work without an account, just from your invitation address. If you like, you can create an account or link an existing one: the organizer sends you an invitation by email, or you enter your invitation address on the page How contributing works. Either way you confirm with a code that we send to your invitation address. Then you can see all your past contributions and their status.
Read more: A short explanation is on the page How contributing works.
For recipients
A capsule was handed over to you: how to get in, what to do if a link is missing and how long you have.
Lost recipient link
The access link is gone or never arrived. Now what?
On the page Request your link again you enter your email address. If it is on file for a delivered capsule, we send you the link again, or, if you already have a password, a link to reset it. For security we do not show whether the address is on file. Check the spam folder too.
Nothing arrives. Maybe the address is wrong or old.
Only the organizer can change that: as long as you have not set up your access, they enter the right address in the family settings. If they cannot be reached, write to us through the contact form and tell us which family it is about. If you are signed in, we attach the details automatically.
I forgot the password.
Request a reset link on the page Request your link again. Alternatively use "Forgot your password?" on the capsule's sign-in page.
Handing over to the recipient
My child has no email address. What now?
That is not a problem. In the family settings you can enter or change the recipient's email address at any time until they have set up their access. If you have none, you can also hand over the capsule yourself: with the early exit you confirm "I will hand over the capsule myself", and your own address is used as the recipient address. You then open the capsule together with your child.
The capsule was delivered, but nobody was notified.
Then a recipient address is still missing. You get an email with a link to enter it afterwards. This works until access is set up. The recipient then gets their personal link.
An email to the recipient did not arrive.
If a mail comes back because the address no longer exists or the mailbox cannot be reached, we show a notice in the family settings right above the "Recipient email" field: "The email to ... bounced." Check the address for typos and enter the correct one if needed. As soon as you change the address, the notice disappears. You can do this yourself until the capsule is delivered or the recipient has set up access. After that, support can help via the contact form.
What is the "Confirm recipient" step?
When the recipient logs in for the first time, you as organizer see a confirmation request. Content is only shown once you confirm that access goes to the right person. This protects the capsule if a mailbox falls into the wrong hands. If it is the wrong person, you can reset the access and send a new link to the right address.
The organizer is unreachable.
As recipient you can contact us via the contact form and tell us which family it is about. We look into the case and can help in justified cases, even if the organizer does not respond. If the organizer named a trusted contact, that person can help too: they get notices about the capsule when the organizer does not react, and after some time they can confirm you on the organizer's behalf or correct your email address as long as you have not set up your access yet. The trusted contact never sees any content of the capsule.
How long can I see and export the capsule?
See "After delivery" and "Data export". Export the capsule while access exists.
The link is gone or the password forgotten.
You can request the link again yourself on the page Request your link again. More under "Lost recipient link".
